My Vehicle Diary is provided by CodeSparta ("we", "us", or "our").
Information we collect
Account information
When you create or use an account, we collect your email address, chosen username or display name, authentication identifier, and account preferences. If you sign in with Google, Google provides the basic account information needed to authenticate you, such as your email address and profile name. We do not receive or store your Google password.
Location preferences
We collect the country and city you select or manually enter, along with your preferred currency. These values personalize fuel, workshop, service, and currency information. My Vehicle Diary does not request precise GPS or background-location permission.
Vehicle and diary information
We collect information you choose to enter about your vehicles and their use, including vehicle details, registration information, mileage, fuel entries, service visits, work items, reminders, renewals, costs, workshops, fuel stations, descriptions, and notes.
Photos, files, and documents
If you choose to attach an invoice, receipt, photograph, or document, the selected file and related information such as its filename and size are uploaded to your account. Camera permission is requested only when you choose to take a photograph from within the app. File and camera use are optional.
Technical information
Our infrastructure providers may automatically process limited technical information needed to operate and secure the service, such as IP address, request time, authentication or session information, app version, and basic device or network information. We do not use this information for targeted advertising.
How we use information
- Create and secure your account.
- Provide vehicle, fuel, service, renewal, document, and reminder features.
- Calculate totals, mileage intervals, fuel averages, and due dates.
- Store and retrieve records across your signed-in devices.
- Personalize country, city, currency, workshop, and fuel-station options.
- Provide support and respond to deletion requests.
- Maintain security, prevent abuse, and troubleshoot service problems.
- Comply with applicable legal obligations.
Service providers and data sharing
We use Supabase for authentication, database, server-function, and file-storage services; Google for optional Google account authentication; and Expo / EAS for app build and update-delivery infrastructure.
These providers process information only as needed to provide their services and under their own applicable privacy terms. We do not sell personal information or share it for third-party targeted advertising. We may disclose information if required by law, to protect users or the service, or as part of a legally permitted business transfer subject to appropriate protections.
Data security
Information transmitted between the app and our service providers is protected in transit using HTTPS/TLS. Access to account data is restricted through authenticated sessions and database access controls. No method of storage or transmission is completely secure, so absolute security cannot be guaranteed.
Data retention
Active account data is retained while your account remains open and as needed to provide the service. When your account is deleted, active account records and uploaded files are deleted. Residual copies may remain temporarily in restricted backups until those backups are routinely overwritten and will not be used for ordinary business purposes.
Shared directory entries, such as a workshop or city contributed to improve searchable options, may be retained only after removing the link to the deleted account. Aggregated or anonymized information that can no longer reasonably identify you may also be retained.
Your choices and rights
You may review and update your username, location preferences, vehicles, records, and other information from within the app. Optional photos and files are collected only when you choose to provide them.
Depending on your location, you may have additional rights to access, correct, restrict, object to, or request a copy of your personal information. Contact us to exercise those rights.
Children's privacy
My Vehicle Diary is a general vehicle-record application and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so it can be removed.
International processing
Our service providers may process information in countries other than your country of residence. Where required, information is handled using appropriate contractual and legal protections.
Changes to this policy
We may update this Privacy Policy as the app or legal requirements change. We will update the effective date and provide notice in the app or through another appropriate channel when a material change requires notice.
